Schedule: Monday Friday, 8:30 am-5:00 pm, Evenings and weekends, as needed

FLSA Status: Exempt, Full-Time

Summary

The Grants Manager oversees all aspects of the grant lifecycle, from planning and writing to submission, compliance, and reporting. This role supports grant acquisition for the Pastoral Ministries Center and related Catholic agencies of the Archdiocese of San Antonio, while building and maintaining relationships with grantors.

The Grants Manager serves as the central lead for all grants, working closely with Directors, Program Managers, and the Business Office to ensure alignment between program goals, budgets, and reporting. The role ensures that all stakeholders understand grant requirements, timelines, and deliverables, and that all communications and documentation are timely, accurate, and compliant.

Responsibilities
  • Directs the planning and execution of all grants management activities, including annual planning, prospect identification, and submission schedules
  • Develops and maintains a target list of funders for select ASA programs and agencies
  • Writes and submits grant applications on behalf of ASA programs and agencies
  • Collaborates with the Director of Stewardship & Development and the Archbishop to plan and coordinate submissions to the Kenedy Foundation and other priority funders
  • Builds and maintains relationships with foundations and acts as the primary point of contact with funders for applications, communication, and compliance
  • Works closely with Program Managers to develop narratives, define goals, and track outcomes in alignment with grant requirements
  • Coordinates with the Business Office to support financial compliance and reporting
  • Gathers data and prepares timely, accurate reports to funders in collaboration with Program Managers and the Business Office
  • Maintains a centralized grant calendar and ensures timely submission of applications and reports
  • Facilitates all required grant-related meetings, including pre-submission reviews, reporting preparation, and compliance check-ins
  • Manages centralized digital and physical grant files in accordance with the archdioceses records retention policy
  • Monitors compliance with grant terms across departments and addresses any delays, budget changes, or reallocation requests as needed
  • Coordinates communication with the Archbishop and funders for grant modifications or unspent funds
  • Supports parishes, schools, and ministries in identifying funders, developing proposals, and training on grant acquisition
  • Assures that grant applications, applying agencies and grant-making foundations meet the criteria of the archdiocese and are compliant with Catholic Social Teaching
  • Regularly attend and participate in archdiocesan functions and events
  • Establish and maintain relationships with businesses and grant-making organizations
  • Lead and support team members by modeling professionalism, resolving issues, and making sound decisions
  • In collaboration and consultation with the Director of Stewardship & Development, establish and implement strategic short- and long-term goals, plans, objectives, policies, and operating procedures
  • Support mission awareness and education efforts for the Department of Stewardship & Development
  • Adhere to safety training and protocols daily and take precautionary measures to ensure the safety and well-being of self and others
  • Protect the confidentiality of any information obtained during service, including client, donor, investigation, and financial information
  • Adherence to the Code of Conduct and the Faith and Moral Policy is mandatory
  • Take a solution-oriented approach in all responsibilities, fostering collaboration and commitment to the Mission and Vision of the organization
  • Perform other duties as assigned
Minimum Qualifications

Education: Bachelors degree in Nonprofit Management, Social Sciences, or in applicable field or equivalent combination of education and experience.

Experience: Minimum of five (5) years of experience in non-profit fundraising and development. Minimum of three (3) years of grant, business, or technical writing.

License And Credentials: Reliable transportation; Valid driver license; Valid vehicle insurance

Minimum Knowledge and Skills: Working knowledge of grant writing and management; strong cross-functional coordination skills; working knowledge of grant research tools; Practicing Catholic with working knowledge of the Catholic Church preferred; Bi-lingual is a plus but not required; exceptional interpersonal skills; knowledge of Microsoft Office Suite, Google Drive, CRM, etc.; detail oriented, organized, self-motivated, able to work independently and on a team; excellent written and verbal skills; strong critical thinking and problem-solving skills.

Travel Requirements: Travel requirements for the position include 20% local and 1% overnight.
